Meetory ("we," "our," or "us"), operated by Magdee Technologies, a company registered in India, provides an AI-powered meeting intelligence platform accessible at meetory.ai (the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.

By using Meetory, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use the Service.

1. Information We Collect

1.1 Account Information

When you register, we collect:

  • Full name
  • Email address
  • Password (stored securely using one-way hashing)

1.2 Google Account Data

When you connect your Google account via OAuth, we may access:

  • Google Calendar events (to join meetings automatically)
  • Basic Google profile information (name, email, profile picture)

We access Google data only with your explicit consent and only for the scopes you authorize. You can revoke access at any time through your Google Account permissions.

1.3 Meeting Data

When you use our meeting recording features, we collect:

  • Audio recordings from Google Meet, Zoom, and Microsoft Teams meetings
  • Transcriptions generated from those recordings
  • AI-generated summaries, action items, and highlights
  • Meeting metadata (title, date, duration, participants)

1.4 Usage Data

We automatically collect:

  • IP address and approximate location
  • Browser type and operating system
  • Pages visited and features used
  • Timestamps and session duration

2. How We Use Your Information

We use collected information to:

  • Provide, maintain, and improve the Service
  • Join and record meetings on your behalf via our meeting bot
  • Transcribe audio in 10+ Indian languages and English
  • Generate AI-powered summaries, action items, and highlights
  • Sync with your Google Calendar to detect upcoming meetings
  • Send service-related notifications and updates
  • Monitor usage for security, abuse prevention, and debugging
  • Comply with legal obligations

3. Third-Party Services

We use trusted third-party services to operate Meetory. Each processes data only as necessary to provide their services:

3.1 Google API Services

Meetory's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We only use Google user data for the purposes described in this Privacy Policy and do not transfer it to third parties except as necessary to provide or improve the Service, as required by law, or with your explicit consent.

3.2 OpenAI

We send meeting transcriptions to OpenAI's API to generate summaries, action items, and highlights. OpenAI processes this data under their API data usage policies. Data sent via the API is not used by OpenAI to train their models.

3.3 Sarvam AI

We use Sarvam AI for transcription of audio in Indian languages. Audio data is sent to Sarvam AI's API for processing and is handled in accordance with their privacy practices.

3.4 Cloudflare R2

Meeting audio recordings are stored in Cloudflare R2 object storage. Cloudflare processes data under their privacy policy.

3.5 Recall.ai

We use Recall.ai to deploy meeting bots that join and record meetings on Google Meet, Zoom, and Microsoft Teams. Meeting audio is routed through Recall.ai's infrastructure during recording.

4. Data Storage and Security

  • Database: Account information, meeting metadata, transcriptions, and AI-generated content are stored in PostgreSQL databases hosted on secure servers.
  • Audio files: Stored in Cloudflare R2 with access-controlled URLs.
  • Encryption: All data is encrypted in transit using TLS/SSL. Passwords are hashed using industry-standard algorithms.
  • Access control: Only authorized personnel have access to production systems, and access is logged and audited.

5. Data Retention

We retain your data for as long as your account is active. Upon account deletion:

  • Personal information is deleted within 30 days
  • Meeting recordings are permanently deleted from storage within 30 days
  • Aggregated, anonymized data may be retained for analytics purposes

6. Cookies and Tracking

We use the following types of cookies:

  • Essential cookies: Required for authentication and core Service functionality.
  • Analytics cookies: To understand how users interact with the Service and improve the experience.

You can control cookies through your browser settings. Disabling essential cookies may affect Service functionality.

7. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate or incomplete data
  • Delete your account and associated data
  • Export your data in a portable format
  • Restrict or object to certain processing activities
  • Withdraw consent for Google Calendar integration or other optional features at any time

8. GDPR Compliance

For users in the European Economic Area (EEA), we process personal data on the following legal bases:

  • Consent: For Google account integration and optional features
  • Contract: To provide the Service you signed up for
  • Legitimate interest: For security, fraud prevention, and Service improvement

You may lodge a complaint with your local data protection authority if you believe your rights have been violated.

9. Children's Privacy

Meetory is not intended for use by individuals under 16 years of age. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us at privacy@meetory.ai and we will promptly delete it.

10. International Data Transfers

Your data may be transferred to and processed in countries outside of India, including the United States (for OpenAI and Cloudflare services). We ensure appropriate safeguards are in place for such transfers, including standard contractual clauses where applicable.

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page and updating the "Last updated" date. Your continued use of the Service after changes constitutes acceptance of the updated policy.
